Take cash & finish the sale

When the cart’s ready, you take payment and finish the sale. Build the cart first (Ring up a sale), then pick how the customer is paying at the top of the payment screen — Cash, Card, or Cheque:

  • Cash — count the notes and Swann Retail works out the change. This is the main counter flow, and most of this page covers it.
  • Card or Chequerecorded, not processed. Swann Retail doesn’t run the card for you: you take the payment on your own bank terminal (or the cheque in hand) and record it here so the sale and your Z-report add up. There’s no keypad and no change to give.

For a cash sale, under Cash tendered tell Swann Retail how much cash the customer handed over:

  • Exact — they paid the exact total.
  • A note button — quick buttons for $10, $20, $50, and $100 notes. Only the notes that cover the total are shown, so a $7.00 sale offers all four while a $63 sale offers just $100.
  • Type the amount — for anything else, type what they gave you in the amount box.

As soon as the cash covers the total, a Change (est.) line shows the change to hand back. This is a guide; the exact change is confirmed on the completed sale.

Pick Card or Cheque instead and Swann Retail records the full amount due — no keypad and no change (“Records $12.00 on card. No change is given.”). Take the actual payment on your own terminal, or the cheque in hand, then press Charge to complete the sale as usual.

If you want to email the receipt, fill in Email receipt (optional) before completing. If you’ve already attached a customer with an email, it’s filled in for you — leave it as-is or type a different address. You can also print or email afterwards (see Receipts).

Press the Charge button (it shows the total, e.g. Charge $12.00). The sale completes and you’ll see Sale complete with:

  • the order number,
  • the Change due to give back.

From here you can Print or Email receipt, View order, or start the next sale with New sale.

If a price changed while the sale was open, Swann Retail updates the cart and asks you to review the total and charge again — so you never under- or over-charge.
