Deliveries

The Deliveries screen is your delivery worklist. It lists every delivery order that’s still in progress — waiting for a driver, out for delivery, or failed — and lets you put a driver on each one. Open it from Sales → Deliveries.

Deliveries come with the delivery add-on. If you don’t see Deliveries in your Sales menu, either it isn’t on your plan (contact Swann Software to add it) or your role doesn’t include the Deliver orders permission. The owner always has it.

An order lands on this screen when it’s rung up as a delivery at checkout. Once it’s there, you can set or change where it’s going from the order itself: open the order and use Set delivery location (or Change location) in its Delivery section. A location can only be changed while the delivery is still pending or assigned.

At the top, a summary tells you how many orders need a driver (or All orders assigned when none do), and how many are stranded, if any. Each row shows:

Column What it shows
Order The order number.
Delivery Where the delivery is up to: Pending, Assigned, Out for delivery, or Failed.
Scheduled The delivery window you set, in your store’s time zone — or a dash if there isn’t one.
Assigned driver The driver’s name, or Unassigned. A driver who has since left the role is marked so.
State Whether you need to act: Needs a driver, Stranded, or Assigned.

Stranded means the order has a driver on it who can no longer take deliveries — they lost the Deliver orders permission or were deactivated. Re-assign it so it doesn’t sit with nobody.

Turn on Show only orders needing action to hide everything that already has a live driver and work just the Needs a driver and Stranded rows.

  1. Press Assign on the order’s row (it says Re-assign if the order already has a driver).
  2. Under Choose a driver, pick a driver. Only active staff who hold the Deliver orders permission are listed.
  3. Optionally, set a Scheduled delivery date and time to plan the delivery window. Leave it blank to assign with no schedule; on a re-assign the existing window is filled in for you, and Clear removes it.
  4. Press Assign (or Re-assign).

If no drivers are listed, nobody on your team can take deliveries yet. Give an active team member the Deliver orders permission — the built-in Driver role has it — under Roles & permissions.

  • This order was cancelled. The order was cancelled while you had it open, so it’s taken off the list.
  • This order just changed — someone else assigned it, it went out for delivery, or it was cancelled first. The list refreshes on its own; check the row again and try once more if it still needs you.
  • Could not assign the driver. Something went wrong in between. Try again.
  • The list shows active deliveries only. A delivery that’s been completed or returned drops off it.
  • Moving an order to Out for delivery, Delivered or Failed is the driver’s step, not something you do from this screen.
  • The list refreshes after every assignment you make. To pick up changes made elsewhere, reload the page.
