Posting evidence

Once you’re live, the QuickBooks page shows Posting evidence — proof of what’s actually reaching your books, so you never have to take “it’s all posting” on trust. It answers three questions at a glance: what posted last, is anything stuck, and where is a given day in QuickBooks.

On the QuickBooks page (once Connected) you’ll see a Posting evidence card:

  • Last posted day — the most recent closed day that actually posted to QuickBooks. Before anything has posted it reads Nothing has posted yet — Swann Retail never claims a day posted that didn’t.
  • Open conflicts — how many days are held and waiting on you. When there’s more than one you also get a Review conflicts button straight to Fixing what won’t post.
  • View accounting feed — opens the accounting feed, the balanced double-entry view of your takings.

If Last posted day is recent and Open conflicts is zero, your books are current. If the last posted day is older than you’d expect, something’s holding days back — check Open conflicts and Fixing what won’t post.

When you post a day, Swann Retail shows you the reference it posted under and a link to open it:

  • The reference — every posted day carries a stable reference like SWANN-2026-05-31 (a daily-invoice day reads SWANN-INV-2026-05-31). It’s built from the day’s date, so you can always find a day in QuickBooks by searching that reference — and re-posting the same day never creates a second copy.
  • View in QuickBooks — opens that day’s entry directly in QuickBooks in a new tab, so you can check the posted figures against Swann Retail without hunting for it. It appears once QuickBooks is connected.
