Customer subscriptions

If you sell subscription plans — a monthly membership, a weekly box — the Subscriptions screen lists every customer enrolled in one, with what they’re on and when it renews next. Open it from the Sales menu.

Subscriptions are a paid add-on. Without it, Subscriptions shows in your menu with a lock, and opening it explains how to add it to your plan.

This screen is about your customers’ subscriptions to your plans. Your own Swann Retail plan is a different screen — see Your plan & billing.

A subscription plan is an item in your catalog. On the Items screen, create an item and set its Type to Subscription, then choose a Billing cadence — Weekly, Monthly, Quarterly or Yearly — for each variant. A subscription item is never stock-tracked. See Manage your items for the rest of the item form.

When a customer buys a subscription plan at the register, their subscription appears on this screen.

Each row shows the Plan, its Cadence and Price, the Next renewal date, the Status, and a link to the Customer. Use the status chips above the list to narrow it down, and Load more to see further rows.

Status What it means
Active The subscription is running and renews on its next renewal date.
Past due A renewal hasn’t been paid — follow it up with the customer.
Paused Invoicing is on hold until you resume it.
Canceled The subscription has ended.

A customer’s subscriptions also show in the Subscriptions section of their customer record.

Open a subscription from the list to see its plan, price, cadence, start date and next renewal, then:

  • Pause (an active subscription) — invoicing stops while it’s paused. The customer keeps the agreement and you can resume it any time.
  • Resume (a paused subscription) — invoicing starts again, and the next renewal date moves later by the length of the pause, so the paused time isn’t billed.
  • Cancel subscription — choose Cancel at cycle end to let the customer keep their benefits until the current billing cycle runs out, or Cancel immediately to end it now. A subscription already set to cancel at cycle end can still be cancelled immediately.

Each one asks you to confirm first. Pausing, resuming and cancelling need the Sell permission; without it the subscription is view-only.
