Edit a quote

Customers change their minds — another trophy, one fewer medal, a different engraving. You don’t have to start a new quote for that. Edit quote reopens a saved quote on New Sale, lets you change it, and saves your changes back onto the same quote: same quote number, same place in your open quotes list.

You can edit a quote right up until it’s converted to a sale. Editing takes no payment, touches no stock, and doesn’t send the customer anything.

To change only the quote’s label or its Valid until date, you don’t need to edit the quote. Press Rename instead. It opens Edit details (see Rename a quote or change its Valid until date).

  1. Go to Sales → Quotes and open the quote.
  2. Press Edit quote. New Sale opens with the quote’s lines in the cart and a banner reading Editing quote and the quote number.
  3. Change the cart the way you would for any sale — add or remove items, change quantities, add custom lines, or change the discount.
  4. Press Save quote in the banner. You’re taken back to the quote, showing the new lines and total.

Changed your mind? Press Discard changes in the banner instead. The quote stays exactly as it was and you’re taken back to it.

While you’re editing, the cart’s usual Save as quote button is hidden — that would create a second, separate quote. Save quote in the banner is the one that updates the quote you opened.

Editing a quote needs the Sell and Manage quotes permissions, the same as saving one.

When the quote reopens on New Sale:

  • Catalog items are re-priced at today’s prices. If an item’s price has changed since you wrote the quote, the edited quote uses the new price. Custom lines keep the price you quoted.
  • Discounts and notes on each line come back with it, along with the quote’s own discount.
  • An item you’ve since removed from your catalog can’t come back. A message lists any lines that couldn’t be added; press Got it to carry on. Saving the edit removes those lines from the quote, so add a replacement first if the customer still needs one. If none of the quote’s items are still available, you’ll see None of this quote’s items are still available to edit.

Save quote updates the quote’s items and discount. It doesn’t change the quote’s customer or its order note. If you change either of those on New Sale while editing, the banner warns you that the change won’t be saved to the quote.

A quote can hold at most 18 lines. If the cart has more, the banner tells you to remove some before you can save.

If the customer already accepted the quote

An accepted quote can still be edited, and it stays accepted after you save. But the customer is now holding a quote that no longer matches yours. So when you land back on the quote after saving, it shows Changed since the customer accepted — resend? with a Resend button. Press Resend to email the customer the updated quote (see Quotes).

That reminder only appears straight after the save. If you leave the quote without resending, remember to send the customer the new version yourself.

Edit quote is only offered on a quote that’s still open. Once a quote has been converted to a sale or discarded, it can’t be edited — use Duplicate as new quote on a converted quote to start a fresh quote from its lines.

If something changes while you’re editing, Save quote is stopped with a message in the banner:

This quote was converted to an order, so it can no longer be edited. Someone rang the quote up while you were editing it. Use Duplicate as new quote on it if you need a changed copy.
This quote was discarded, so it can no longer be edited. Someone discarded the quote while you were editing it.
Someone else changed this quote while you were editing it. Another edit was saved first. Reload the quote and make your changes again, so you don’t overwrite theirs.
Prices changed since you started editing. The save was refused again after the quote was updated to today’s prices (see below). Press Discard changes, then Edit quote again.
Finish or clear the sale in progress on New Sale before editing a quote. New Sale already has a sale in it. Finish or clear that sale, then press Edit quote again.
Couldn’t save the quote. Check your connection and try again. The save didn’t reach Swann Retail. Check your connection and press Save quote again.

If a catalog price moved while you had the quote open, your first Save quote isn’t saved. Instead, the cart is updated to today’s prices and the banner reads Prices changed since you started — the quote has been updated. Review the total and save again. Check the new total, then press Save quote once more.

If that second save is refused too, you’ll see Prices changed since you started editing. Press Discard changes, then Edit quote again to start from today’s prices.
